If your church, school, or neighborhood is putting on a fall festival or trunk-or-treat this October, here’s the part nobody tells you until it’s too late: the good October Saturdays get claimed in September.

There are only about five of them. Every church in Coweta, Fayette, and Troup county wants two of the same ones. So this post is partly a planning guide and partly a nudge. If the date is on your calendar, get the equipment locked down while you still have options.

How many inflatables do you actually need?

The most common mistake at a big community event isn’t renting the wrong unit. It’s renting one unit for four hundred people and watching a forty-minute line form by 6:15.

A rough way to think about it: one inflatable keeps roughly 8–10 kids busy at a time, with each turn running a few minutes. Multiply that out against your expected turnout and how long your event runs.

Expected kidsWhat we’d send
Under 100 (2–3 hours)One combo unit
100–250Two units, split by age
250+Three or more, plus an obstacle course

That third row matters more than it looks. An obstacle course moves kids through instead of holding them in one place, so it does far more for a long line than another bounce house would.

Split by age, always. A 4-year-old and a 10-year-old do not belong in the same bounce house, and the parents watching know it. Two smaller units almost always beat one big one at a community event.

Concessions are what people remember

Cotton candy, snow cones, and popcorn do something inflatables can’t. They give the adults a reason to stay, and they turn a parking lot into an event. They’re also the cheapest way to make a festival feel bigger than it is.

Three practical notes for a large crowd:

  • Concession machines need their own power, same as blowers
  • Someone has to run them, so plan a volunteer rotation with two people per machine
  • Buy more supply than you think. Running out of cotton candy sugar at 6:30 is a real thing that happens

Tables, chairs, and tents

Easy to forget until the week of. You need seating for the people who aren’t in line: grandparents, parents, anyone eating.

Tents matter in October for a different reason than in July: the sun sets earlier, it gets cold fast after dark, and a covered area gives your food and check-in tables somewhere to live.

The power conversation, where events go sideways

Fall festivals are usually in parking lots and open fields, and that changes everything about setup. For a full walkthrough of what a delivery spot needs, see our inflatable setup requirements guide. The short version for a multi-unit event is below.

Every inflatable needs its own 110/120v, 20 amp outlet on its own breaker, within 100 feet of where the unit sits. Larger waterslides need two separate circuits. When you’re running three or four units plus concession machines off a church building’s exterior outlets, you can blow past what that building can give you very quickly.

Power availability

Walk the site and count actual outlets, not theoretical ones. If the spots you want are more than 100 feet from power, you’ll rent generators from us. We don’t run our equipment off personal or borrowed generators, because ours are sized to run multiple blowers for a full day and we know exactly what they’ll handle.

Parking lot setups

We can absolutely set up on asphalt or concrete. It just gets anchored with sandbags instead of stakes, which carries an additional charge. Tell us when you book so we bring enough weight.

If we’re staking into a field, someone has to call 811. Georgia law requires it at least three business days ahead so underground utilities get marked. That call is on the event host, and it’s free.

A timeline that works

  1. 8–10 weeks out Pick the date, walk the site, count your power.
  2. 6–8 weeks out Reserve equipment. A deposit holds the date, and this is the step that runs out of road in September.
  3. 3–4 weeks out Confirm volunteer assignments and concession supplies.
  4. 1 week out Final headcount. Your balance is due five days before the event.
  5. Day before Clear the setup areas, secure gates, confirm your point of contact for delivery morning.

One thing to decide up front: who’s watching the units

On every rental, the customer is the operator. That means an adult supervising each inflatable for the whole event, not one person floating between four of them.

For a church festival, that’s usually two volunteers per unit in shifts, and it’s worth assigning by name on a sheet rather than hoping someone steps up on the day.

If you’d rather have that handled, we can staff units. It needs to be arranged in advance and added to the invoice.

And once your units are back in our hands, they don’t just sit dirty until the next booking. See how we clean our bounce houses between every rental.

Questions we get from event organizers

How far ahead should we book an October date?

Six to eight weeks, and sooner for the Saturdays closest to Halloween. There are only about five October Saturdays and most churches and schools in Coweta, Fayette, and Troup are aiming at the same two or three of them.

How many bounce houses do we need for 300 kids?

Three or more, and we’d suggest making one of them an obstacle course. One inflatable handles roughly 8–10 kids at a time, so a single unit at that headcount means long lines all evening. Splitting by age group keeps the little ones from getting run over.

Can you set up in a church or school parking lot?

Yes. Hard surfaces get anchored with sandbags instead of stakes, which carries an additional charge. Just let us know when you book so we bring enough weight. See our full setup requirements guide for the details.

What if the field doesn’t have enough power?

You’ll add generator rentals to your booking. They have to be ours. We don’t run our equipment off personal or borrowed generators, since ours are sized to run multiple blowers for a full day. Send us a photo of the site and we’ll tell you what you need.

Do you provide staff to run the inflatables?

Not automatically. Each unit needs an adult supervising it for the whole event. We can staff units for an additional charge if you’d rather not run volunteer shifts. It just has to be arranged in advance and added to the invoice.

How long do we get the equipment?

Our rentals are full-day, which matters when your event runs from 4 p.m. to dark. We deliver and set up well before your start time and come back for it afterward.

Let’s get your date on the calendar

Tell us your expected headcount, the date, and where you’re setting up, and we’ll put together a package that fits. Send a photo of the site while you’re at it and we’ll tell you straight whether the power works.
